Insurance, Liability & Professional Standards Policy – Be Proactive Physiotherapy

At Be Proactive Physiotherapy, we are committed to delivering high-quality, evidence-based care in compliance with the Chartered Society of Physiotherapy (CSP) and Health & Care Professions Council (HCPC) standards.

1. Professional & Public Liability Insurance

• Be Proactive Physiotherapy is fully insured with Professional Indemnity and Public Liability Insurance, covering all physiotherapy treatments, rehabilitation programs, and manual therapy techniques.

• Our insurance meets the requirements of the Chartered Society of Physiotherapy (CSP), ensuring full protection for clients and practitioners.

2. HCPC Compliance & Professional Standards

• All physiotherapists at Be Proactive Physiotherapy are HCPC-registered and adhere to the HCPC Standards of Proficiency for Physiotherapists.

• Our clinic follows the CSP Code of Professional Values and Behaviour, ensuring ethical, safe, and evidence-based practice.

3. Client Insurance Claims

• If your private health insurance covers physiotherapy, we can provide invoices and documentation to assist with claims.

• It is the client’s responsibility to verify their coverage and submit claims directly to their insurer.

• Be Proactive Physiotherapy does not guarantee reimbursement, as approval depends on individual policies.

4. Workplace & Sports Injury Insurance

• Clients using workplace injury insurance (e.g., workers’ compensation) or sports injury insurance must provide:

• Claim reference number

• Authorisation from their insurer before treatment begins.

• Without prior insurer approval, clients must pay upfront and seek reimbursement themselves.

5. Treatment Consent Policy

• Clients must provide informed consent before treatment, either verbally or in writing.

• Physiotherapists will explain:

• The nature of the condition and treatment options

• Any risks and benefits associated with treatment

• The expected number of sessions and rehabilitation plan

• Clients have the right to withdraw consent at any time during treatment.

6. Liability Disclaimer

• Clients participate in physiotherapy treatments and rehabilitation programs at their own risk.

• Be Proactive Physiotherapy is not liable for:

• Injuries sustained outside the clinic following treatment or prescribed exercises.

• Conditions worsening due to non-compliance with treatment plans.

• Adverse reactions if full medical history was not disclosed.

7. Virtual/Telehealth Physiotherapy Policy

• Online consultations follow HCPC and CSP guidelines for safe, effective virtual care.

• Clients must ensure they have a safe, appropriate space to perform exercises.

• Be Proactive Physiotherapy is not liable for injuries due to:

• Unsafe home setups

• Failure to follow virtual session guidance

8. GDPR & Data Protection Policy

• Be Proactive Physiotherapy is fully compliant with GDPR (General Data Protection Regulation).

• All personal and medical information is confidential and securely stored.

• Client data will only be used for:

• Treatment purposes

• Appointment scheduling

• Communication regarding physiotherapy services

• Information will never be shared with third parties without explicit client consent, except when required by law.

• Clients may request access to their records at any time.

9. Chaperone Policy

• Clients may request a chaperone (family member, friend, or staff member) to be present during their appointment.

• For clients under 16 years old, a parent or guardian must be present for all sessions.

• If a chaperone is not available and the client is under 16, the appointment will need to be rescheduled.

10. Cancellation & Refund Policy

Cancellation Policy

• We require at least 24 hours’ notice for appointment cancellations or rescheduling.

• Cancellations made with less than 24 hours’ notice will incur a charge of deposit amount.

• No-shows or cancellations within 2 hours of the appointment will be charged 100% of the session fee.

Refund Policy

• Payments for individual sessions are non-refundable, except in cases where the clinic must cancel an appointment and rescheduling is not possible.

• Block bookings or prepaid sessions are non-refundable but can be transferred to another individual or used at a later date if agreed upon.

• Refunds will not be issued for:

• Missed appointments

• Sessions where the client chooses not to continue treatment after it has begun

• Partially used treatment packages

• Any refund requests must be made in writing and will be reviewed on a case-by-case basis.

11. Emergency Procedure Policy

• If a medical emergency occurs during a session, our staff will:

1. Provide immediate first aid if required.

2. Call 999 for emergency services if necessary.

3. Stay with the client until emergency responders arrive.

4. Notify the client’s emergency contact if provided.

• Clients must disclose any pre-existing medical conditions that may require emergency intervention.

12. Infection Control Policy

At Be Proactive Physiotherapy, we prioritise health, safety, and hygiene to minimize the risk of infections. Our infection control measures include:

Clinic Hygiene Standards

• All treatment areas, equipment, and surfaces are sanitized after each session using medical-grade disinfectants.

• Hand hygiene is strictly enforced, with hand sanitizing stations available throughout the clinic.

• Fresh, disposable or properly laundered towels are used for each client.

Practitioner Hygiene & PPE

• Physiotherapists adhere to strict hand washing protocols before and after each session.

• Gloves, masks, or other PPE will be worn if required for infection control.

• Practitioners who feel unwell will not attend sessions and will arrange rescheduling or alternative cover.

Client Responsibilities

• If a client is feeling unwell, has a fever, persistent cough, or any infectious symptoms, they must reschedule their appointment and avoid attending the clinic.

COVID-19 & Other Infectious Diseases

• If government or CSP guidelines require it, additional measures such as mask-wearing, social distancing, or screening questionnaires may be enforced.

• Virtual physiotherapy sessions are available for clients unable to attend in person due to infection risks.
